Online Library UX 365 Managing Auto Numbered Attributes | Page 3

Overview In previous versions of UX Online, setting the next value for several auto numbered attributes was managed in the Trans Number Control entity. The Trans Number Control entity is deprecated in UX Online 365. Setting the Seed for the next sequence number for newly created records is managed using the XRMToolBox ‘Auto Number Manager’ plugin tool for each of the following auto numbered attributes: • Account > Account Number (account.accountnumber) • Batch Log > Batch Number (batchlog.pa_batchnumber) • Contact > Contact Number (contact.pa_contactnumber) • Gift Certificate > Identification (pa_giftcertificate.pa_gfidentification) • Invoice > Invoice Number (invoice.invoicenumber) Note The Invoice Detail > Capture ID (invoicedetail.pa_cccaptureid) is generated during the delayed capture process. It is not managed as an auto number attribute. Similarly, setting the Number Format to manage the prefix and sequence number length for these attributes is also managed using the XRMToolBox ‘Auto Number Manager’. The default Number Formats for each of the auto numbered attributes in UX 365 are: • Account Number: A-{SEQNUM:6} • Batch Number: {SEQNUM:6} • Contact Number: C-{SEQNUM:6} • Identification: GIFT-{SEQNUM:5} • Invoice Number: INV-{SEQNUM:5}-{RANDSTRING:6} This whitepaper is divided into the following sections, which describe the steps for updating auto numbered attributes. It assumes that the user has access to XRMToolBox Auto Number Manager, as well as an existing XRMToolBox connection to the client’s the organization. • Accessing Auto Number Manager in XRMToolBox • Locating the Auto Number Attribute • Setting the Attribute ‘Seed’ (Next Number) • Modifying the Number Format Important It is important to back up the client’s UX Online 365 org before beginning this process.
