User Deletion from Dynamics 365
Notes:
i. When a resource has been terminated, we recommend the user’ s password for their Microsoft account be reset to remove their access immediately, and the information provided to another resource at your company who can review the user’ s workflows and advanced finds before disabling the users account in D365 or the Microsoft tenant. ii. Before a user’ s access is disabled in Dynamics 365, please make sure any activated workflow processes or flows owned by the user have been reassigned to another active user. iii. Before a user’ s access is disabled in Dynamics 365, please make sure any Advanced Find Views the user owns have been shared or reassigned to another active user if required for your business operations. iv. Step 1 and Step 2 require administrator permission in your Microsoft tenant. Please work with your IT or Microsoft 365 vendor to complete these steps.
Step 1: Unassign the Dynamics 365 license from the user’ s account.
1. Login to the Microsoft 365 Admin Center with an account that is a Global, License or
User administrator. 2. In the admin center, go to the Billing | Licenses page. 3. Select the product license you want to remove( UX Subscriber Full or Lite): a. Dynamics 365 Sales Enterprise( Full) b. Dynamics 365 Team Members( Lite) 4. On the product details page, select the circle next to the user’ s name. 5. Select Unassign Licenses, then Unassign.
Step 2: Remove the user from the Azure AD Security Group
1. Login to the Microsoft 365 Admin Center with an account that is a Global, License or
User admin. 2. In the admin center, expand Groups, and then click Active groups. 3. Click Protech UX 365 Access Group to open the settings pane. 4. On the Members tab, click View all and manage members in the Members section. 5. Click the X next to the user( s) you want to remove from the group, then click Save changes.
Once Step 1 and Step 2 are complete the sync will run within the hour( usually 15-20 minutes) and the user will be marked as Disabled in each Dynamics 365 environment.
