Note Education Activity records created through meeting session registrations or product sales are invoice-based where payment of the invoice is not a requirement for creating the Education Activity record . There is no invoice transaction type for an Education Item .
Education activity records can be created manually to record an Education Items related to an Award Track Requirement or an Award Renewal Requirement , or simply to record an Education Item that is unrelated to an Award as a means for tracking the education history of a customer .
Each Education Activity record includes the activity date and a status of either enrolled ( Fulfilled = No ) or passed ( Fulfilled = Yes ). The default status is based on the Education Item setup . If the Education Item default status = Passed , the Education Item is fulfilled on the activity date . If the Education Item default status = Enrolled , the status must be updated manually to Passed to fulfill the Education Activity .
Once the Education Activity status = Passed , either by default based on the Education Item setup , or manually by a user , UX 365 updates the Education Activity record Fulfilled field = Yes . The Activity Date remains the same . It does not change if you update the Education Activity status . You can manually update the Activity Date to reflect the date the Education Item status changed to Passed , if needed by your organization .
If an Education Activity is part of an Award Track Requirement that leads to an Award , when UX 365 updates the record to fulfilled , a UX Professional Development System Job updates the Track Header to track the status of progress toward achieving the Award . The system job also updates the Eligibility View in the customer record where you can track the customer ’ s progress toward meeting the Award Track Requirements , by Award Track , for achieving that Award .
Viewing Education Activity Records
You can view the Education Activity records related to professional development in the following locations :
• All Education Activities in the Education work area
• Related Education Activities in the customer record
Viewing All Education Activities
To view all Education Activity records , navigate to the Education work area > Education Settings > Education Activities where you can narrow the results by searching on an Education Item in the list view Search field . Select a record from the list to navigate directly to the selected Education Activity record .
